06Role in a stackWindows-first reference and knowledge manager, plus Citavi WebLocal-first reference library and citation manager
07Best for
  • Students whose university pays for a campus licence, with an end date they have checked
  • Windows users collecting quotations, comments and tasks alongside references for a thesis
  • Word-based writing where knowledge items and categories form the working outline
  • Research projects that need local project files or an institution-managed DBServer rather than cloud storage
  • Students and researchers who want a free, local-first reference manager with strong citation plugins
  • Long-term literature libraries where exportability, open-source tooling, and institutional independence matter
  • Workflows that combine browser capture, PDFs, annotations, Word/LibreOffice/Google Docs citations, and group libraries
  • Thesis projects where local files, optional sync, and explicit storage choices are easier to defend than a cloud-only library
08Avoid if
  • You need the full desktop feature set on macOS or Linux without running Windows
  • Your campus access is about to end and you need a reference library without a new licence bill
  • You want an open-source tool and a long-term library independent of campus contracts
  • Your project rules do not permit cloud uploads or external AI processing of the material
  • You want a fully polished cloud-only reference manager with no local setup or maintenance decisions
  • Your attachments contain highly sensitive material and you plan to sync them to Zotero Storage without policy review
  • You need AI summarization, evidence extraction, or paper discovery built in by default rather than via plugins or companion tools
  • Your institution requires centralized enterprise controls, managed updates, or a formally approved reference platform

  • 9,000+ citation styles
  • Optional sync
  • Optional Zotero Storage/WebDAV for files

10Failure modes · Documented, not buried
  • There is no native Mac desktop app. Citavi Web has fewer features; the desktop Word Add-In needs Word for Windows inside a Windows virtual machine.
  • Campus access is not permanent. Augsburg ends eligibility when you leave the university; HS RheinMain warns that cloud access ends with its campus contract. Back up before the deadline.
  • A Zotero move is not lossless: HS RheinMain says desktop knowledge items become notes but lose their type, internal source links and category assignments. Web export cannot include quotations or other knowledge items.
  • Existing Citavi citations in Word do not become editable Zotero citations after a library import, according to HS RheinMain. Rebuilding them can mean manual work.
  • Local project storage does not make the AI local. ULB Bonn says AI inputs go to the provider; the AI terms allow processing outside the hosting region during an Open Beta.
  • Cloud encryption is not end-to-end encryption: the manual says a small group of vendor administrators can technically access project data and attachments.
  • Free storage is only 300 MB for attachments
  • Sync and file sync change the privacy boundary once enabled
  • Group file storage draws from the group owner's storage account
  • Plugin/connector permissions need review
  • Local-first control requires backup, cleanup, and metadata discipline

13Benchmark entries
  • Check Mac and Word compatibility
Lumivero documents Citavi Web with Citavi Assistant for Word on Mac, or Windows Citavi with Word for Windows in Parallels. It explicitly calls the Web feature set reduced.
  • Check what a move to Zotero preserves
HS RheinMain documents references, attachments and PDF annotations transferring from desktop projects. Knowledge items become notes; some relationships and classifications do not survive.
  • Separate project storage from AI processing
The manual documents Azure account and project regions; Bonn separately documents AI input transmission. The AI terms qualify training restrictions and regional processing.

TOOL A · Citavi

Windows-first reference and knowledge manager, plus Citavi Web — Lumivero's Windows-first reference and knowledge manager combines citations, quotations, categories and tasks, with a reduced Web edition for Mac users; campus access can cover the licence, but not forever.

TOOL B · Zotero

Local-first reference library and citation manager — Local-first, open-source reference manager for collecting, organizing, annotating, citing, syncing, and sharing research libraries, with optional paid cloud storage for attachments and group libraries.

Training on your dataPartialPartial: Lumivero AI Terms 1.3 says customer data and inputs will not train or improve models in a form that retains or is derived from identifiable customer information. This is a qualified restriction, not a blanket promise that no input ever trains a model. Terms 1.6 allows processing to provide, secure and improve AI services within that restriction; separately selected third-party AI providers follow your agreement and settings with them. The University of Augsburg warns that AI training cannot be ruled out, which is its institutional assessment, not proof of actual training. Citavi-specific provider details and non-identifiable training use remain unverified. Source: Lumivero AI Terms, checked 12 Oct 2026 (linked in Sources).UnknownUnknown: Unknown
EU data residencyPartialPartial: The manual places account and licence data in Azure West Europe (Amsterdam). Cloud projects and attachments use the Azure region nearest the user, with West Europe for Europe, Africa and the Middle East. That does not guarantee EU-only AI processing; Open Beta requests may leave the hosting region.UnknownUnknown: Unknown
SOC 2 attestationUnknownUnknown: No Citavi-specific SOC 2 report was verified in this documentation check. Azure hosting and encryption in the technical manual are not proof of a Citavi SOC 2 certification.UnknownUnknown: Unknown
Local-first by defaultPartialPartial: Windows desktop projects can stay local as SQLite files. Account login, updates and searches still contact external services; Citavi Web and optional AI processing are not local.YesYes: Desktop library works locally without an account. Optional sync and plugins change that boundary.
